Who is responsible for your information
Albion Wood Products is responsible for the personal information described in this notice. The business is based near Dorking, Surrey. Privacy questions and requests can be sent to hello@albionwoodproducts.com.
Information we collect
When you make an enquiry, we may collect your name, organisation, email address, telephone number, customer type, site location, project requirements, preferred contact method and any photograph or drawing you choose to upload. We may also retain correspondence, quotation information and project records created as the enquiry develops.
The hosting and security services supporting this website may process basic technical information, such as request logs, to operate and protect the service.
How and why we use it
- To review, respond to and manage your enquiry.
- To clarify requirements, arrange a discussion or site visit and prepare a specification or quotation.
- To take steps at your request before entering a contract and, where a project proceeds, to perform and administer that contract.
- To keep proportionate business records, protect the website and establish or defend legal claims.
These uses rely on steps taken at your request before a contract, performance of a contract, legal obligations where applicable, and Albion’s legitimate interests in responding to enquiries and running the business responsibly. The form consent confirms that you understand the stated use; it is not used to add you to a marketing list.
Sharing information
Information may be handled by service providers that host or support the website and business systems. Where necessary for a project, relevant information may also be shared with an agreed installer, supplier, professional adviser or project participant. It may be disclosed where required by law or to protect legal rights. Albion does not sell personal information.
Uploaded photographs and drawings
Uploaded files are kept in private object storage linked to the enquiry record. Do not upload material you are not entitled to share, security-sensitive site plans or unnecessary personal information. If a document needs special handling, contact Albion before sending it.
How long information is kept
Enquiry information and uploaded files are normally kept for 60 days from Albion’s last substantive contact about the enquiry, then deleted if the work does not proceed. If a project proceeds, relevant information may become part of the project, contractual, accounting or legal record and be kept for the applicable period. Information may also be retained for longer where reasonably necessary to meet a legal obligation or establish, exercise or defend a legal claim.
International processing
Some technology providers may process information outside the United Kingdom. Where this occurs, Albion will rely on the safeguards required for that processing and will keep provider arrangements under review.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase your information, restrict or object to its use, and receive certain information in a portable form. You can also withdraw consent where processing relies on consent. These rights are not absolute and an applicable legal reason may require some information to be retained.
Contact hello@albionwoodproducts.com to make a request. You also have the right to complain to the Information Commissioner’s Office.
Security and changes
Reasonable technical and organisational measures are used to protect enquiry information, although no internet service can guarantee absolute security. This notice may be updated when the website, suppliers or information practices change; the date above shows the latest revision.
